Travel Loc Travel – Booking Terms & Conditions
Effective Date: July 3, 2026
Thank you for choosing Travel Loc Travel. By submitting a deposit or making any payment toward a trip, you acknowledge that you have read, understood, and agree to the following Terms & Conditions.
1. Reservations & Deposits
A reservation is not considered confirmed until the required deposit has been received and accepted by Travel Loc Travel.
Deposits are applied toward the total cost of your trip and are non-refundable and non-transferable, unless otherwise stated in writing by Travel Loc Travel.
Travel Loc Travel reserves the right to decline any booking request at its sole discretion.
2. Payment Schedule
Final payment is due by the date listed on your invoice or booking confirmation.
Failure to make payments by the stated deadlines may result in cancellation of your reservation without refund of any payments previously made.
Travel Loc Travel is not responsible for reminding travelers of payment due dates.
3. Pricing
All prices are quoted in U.S. Dollars unless otherwise stated.
Prices are based on supplier rates, exchange rates, taxes, and fees available at the time of publication. Although every effort is made to honor advertised pricing, Travel Loc Travel reserves the right to adjust pricing prior to final payment should supplier costs, government taxes, fuel surcharges, or exchange rates significantly change.
4. Cancellations & Refunds
All payments made to Travel Loc Travel are non-refundable once your reservation has been confirmed.
No refunds will be issued for:
Missed flights
Missed transfers
Late arrivals
Early departures
Unused hotel nights
Missed tours or activities
Voluntary withdrawal from the trip
If Travel Loc Travel is unable to confirm your reservation due to supplier availability, all monies paid for that reservation will be refunded in full.
5. Travel Insurance
Travel insurance is strongly recommended for every traveler.
Travel Loc Travel recommends purchasing comprehensive travel insurance that includes coverage for:
Trip cancellation
Trip interruption
Medical emergencies
Emergency evacuation
Flight delays
Lost or delayed baggage
Travel Loc Travel is not responsible for financial losses resulting from a traveler's decision not to purchase travel insurance.
6. Itinerary Changes
Travel Loc Travel carefully curates each itinerary; however, travel is inherently unpredictable.
We reserve the right to modify accommodations, transportation, activities, restaurants, guides, schedules, or other itinerary components due to:
Weather
Safety concerns
Local events
Government regulations
Supplier availability
Transportation delays
Operational requirements
Other unforeseen circumstances
When changes are necessary, reasonable substitute services of comparable value will be provided whenever possible.
These changes do not constitute grounds for a refund.
7. Travel Documents
Travelers are solely responsible for obtaining and maintaining all required travel documents, including:
Valid passport
Required visas
Entry permits
Vaccination records
Health documentation
Any other required travel documentation
Most international destinations require passports to remain valid for at least six months beyond the date of return.
Travel Loc Travel is not responsible for denied boarding, denied entry, missed travel, or additional expenses resulting from incomplete or invalid travel documentation.
8. Flights & Transportation
Unless specifically stated otherwise, airfare is not included in the trip price.
Travelers are responsible for booking flights that arrive and depart within the designated travel window communicated by Travel Loc Travel.
Travel Loc Travel is not responsible for airline schedule changes, delays, cancellations, baggage loss, or additional airline-related expenses.
9. Accommodations
Hotel accommodations are based on the room category included within the selected package.
If accommodations are based on double occupancy and a roommate cancels, the remaining traveler may be responsible for paying the applicable single occupancy rate.
Room assignments are subject to hotel availability.
10. Traveler Responsibilities
Each traveler is expected to conduct themselves respectfully toward fellow travelers, guides, hotel staff, transportation providers, and local communities.
Travel Loc Travel reserves the right to remove any participant from a trip, without refund, whose behavior is disruptive, abusive, threatening, discriminatory, illegal, or creates a safety concern for the group.
Any expenses resulting from such removal shall be the sole responsibility of the traveler.
11. Health & Physical Fitness
Travelers are responsible for determining whether they are physically and medically able to participate in the planned activities.
Travel Loc Travel is not responsible for injuries or illnesses resulting from participation in optional excursions or activities.
Travelers should consult their healthcare provider before international travel if they have any medical concerns.
12. Assumption of Risk
Travel involves inherent risks that may include, but are not limited to:
Illness
Injury
Theft
Transportation delays
Political instability
Weather events
Natural disasters
Civil unrest
Accidents
By participating in a Travel Loc Travel trip, you voluntarily assume these risks and accept full responsibility for your participation.
13. Force Majeure
Travel Loc Travel shall not be liable for delays, cancellations, losses, or additional expenses resulting from events beyond our reasonable control, including but not limited to:
Natural disasters
Hurricanes
Floods
Earthquakes
Wildfires
Pandemics
Government travel restrictions
Terrorism
Civil unrest
Airline disruptions
Labor strikes
Supplier bankruptcy
Acts of God
In such situations, refunds will be subject to the policies of the travel suppliers involved.
14. Independent Travel Suppliers
Travel Loc Travel acts solely as an independent travel advisor and tour organizer.
Hotels, airlines, cruise lines, transportation companies, tour operators, restaurants, activity providers, and other travel suppliers are independent entities and are not owned, managed, or controlled by Travel Loc Travel.
Travel Loc Travel is not responsible for the acts, omissions, negligence, bankruptcy, delays, cancellations, or service failures of any travel supplier.
15. Photography & Marketing
During group trips, photographs and videos may be taken for promotional and marketing purposes.
By participating in a Travel Loc Travel experience, you grant permission for your likeness to be used in future marketing materials, social media, and promotional content unless you notify us in writing prior to the trip that you do not wish to appear.
16. Limitation of Liability
Travel Loc Travel shall not be liable for any injury, illness, death, property damage, theft, delay, inconvenience, loss of enjoyment, emotional distress, financial loss, or other damages arising from participation in any trip or from the acts or omissions of independent travel suppliers.
Our maximum liability, if any, shall not exceed the amount paid directly to Travel Loc Travel for the applicable travel package.
17. Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the state in which Travel Loc Travel is legally established, without regard to its conflict of law principles.
18. Acceptance of Terms
By submitting a deposit or making any payment to Travel Loc Travel, you acknowledge that you have read, understood, and voluntarily agree to these Terms & Conditions.
These Terms & Conditions constitute the entire agreement between the traveler and Travel Loc Travel regarding the travel services purchased.
